Gmail, Calendar, Drive, Docs and Sheets with your agent
Connect your Google apps, then fix the usual problems: wrong account, missing events, files it can't see, emails that don't arrive.
In this tutorial
Gmail, Google Calendar, Drive, Docs and Sheets are the apps members connect most. Each one connects separately from the Integrations tab, and each has a couple of classic problems. Almost all of them come down to the same three causes: the wrong Google account, permissions skipped during sign-in, or a vague request. This page covers the fixes.
Connect your Google apps
- Open your agent and click Integrations.
- Under Browse, find Gmail, Google Calendar, Google Drive, Google Docs or Google Sheets in Popular integrations.
- Click Connect and sign in to Google in the new tab.
- Allow every permission Google asks for. If you untick boxes, your agent may be able to read but not write.
- Back in Heyron, wait for Connected. Repeat for each Google app you want.
Pick the right account before you click Connect. If you're signed in to several Google accounts in your browser, Google may use the one you didn't mean. Check the email address on Google's sign-in page.
Then start a New chat so your agent picks up the new connections.
The fix that solves most problems
When something's off, do this first:
- Go to Integrations, then Connected.
- Check which account each Google app is connected to.
- If it's the wrong one, or you're not sure you allowed every permission, click Disconnect, then connect it again in one go, without switching accounts halfway.
- Start a New chat and try a small test again.
If you use two Google accounts on purpose, connect both with Add another, and name the account in every request: "Use my work Gmail, robin@company.com."
Gmail
It's sending from the wrong account or alias. "Connected" doesn't guarantee the sender you had in mind. Ask your agent to tell you which account it's using, then send one test email to yourself before anything real.
It says the email was sent, but nobody got it. Sent isn't the same as delivered to the inbox. Check the recipient's spam, promotions and "All mail" folders, searching for a unique subject line. Then retry once, changing only one thing. Plain text with no links is the most reliable test.
It can't send attachments. The file has to be on your agent's computer first. Upload it in Files, or attach it in chat, then tell your agent the file name. See working with files.
Bulk email. Don't ask your agent to send campaigns from your personal Gmail. Gmail limits how much you can send, and mass emails from a personal inbox land in spam.
Google Calendar
It can't see your events. It's usually looking at the wrong account or the wrong calendar. Name the calendar: "Check my 'Work' calendar in robin@company.com."
It can't create events. Usually a permission was skipped at sign-in. Disconnect and connect again, allowing everything.
It updated an event, but the old time still shows. This is almost always a time zone mix-up, the wrong event (two with the same title), or Google Calendar not refreshed yet. Say exactly which event, and give the time zone.
Tell your agent your time zone once and ask it to save it to memory, so every reminder and event uses it. See how your agent's memory works.
If two careful attempts still save the wrong time, stop retrying. Repeated edits create duplicates. Open a ticket instead.
Google Drive
It says it can't find your files. Check the connected account first. A personal Drive and a work Drive are different places. Then ask for something specific, like a file by name or the 3 most recent files, rather than "look through my Drive".
It can't upload a file to Drive. The file has to exist on your agent's computer before it can upload it. Ask it to save the file in Files first, then upload it to a named Drive folder.
Google Docs and Sheets
It can read a Doc but can't edit it. Check that you allowed edit access when connecting, and that your Google account can edit that document. A doc shared with you as "view only" stays view-only for your agent too.
Writing to Sheets. Your agent can add rows, update cells and create new sheets. Be specific about the sheet, the tab and the columns.
Frequently asked questions
Can my agent use more than one Google account?
Yes. Connect the first account, then use Add another in the Connected view for the second. Name the account in your request so it uses the right one.
Why does my agent say Google isn't connected when the Integrations tab says Connected?
You're probably in a chat that started before you connected. Start a New chat and ask again.
Is it safe to connect my Gmail?
Your agent can only do what you ask it to, and you can Disconnect at any time. Ask it to show you drafts before sending anything important. See approvals, privacy and safety.
Why did my calendar event end up at the wrong time?
Usually a time zone mismatch. Give the time zone in your request, and ask the agent to read the event back after changing it.
Can my agent send emails on a schedule?
Yes. Ask it to, with the exact time and time zone. See scheduled tasks, reminders and heartbeats.
